Established over 160 years ago, Charles White is one of Scotland's oldest and respected professional property management companies dealing in residential lettings and factoring.
Recognising an opportunity to better service their clients, Charles White appointed Line to develop a new client extranet to allow the sharing of property information with Landlords, Solicitors, tenants and Charles White themselves.
What we did
Line developed an exranet to automate the process from the sale of properties to setting up insurance and paying factoring floats prior to entry date. Each party involved receives automated emails at their point of intervention, and the system generates reminder and escalation notifications to ensure the smooth completion of processes. It also provides detailed reporting statistics, from the micro level of single properties to marco results on developers' portfolios.
Improvements in functionality were made to the existing website for tenants, landlords and admin users to speed up access to services and information. Integration with internal Charles White's existing systems was required to feed the information into a tenant extranet noticeboard and also to publish property data on a range of external, third party websites.
Results
The extranet delivers a solution which would not have been cost effective if delivered manually - the new system significantly reduces the company's admin time, and the property developers are now provided with access to realtime account status.
From the end user's point of view, the development of an easy to use online service improves their perception of the company and its customer service.
